It's 9 PM. A patient messages your Facebook page: "Hi po, magkano cleaning?" Your front desk went home at six. By the time someone answers in the morning, she may have booked with the clinic that replied first.
A dental clinic booking system in the Philippines has to start there, in Messenger, because that's where your patients ask. Booking software that starts with a form is waiting for a patient who never opens it.
Booking by hand versus with OtterFlow
| By hand | With OtterFlow | |
|---|---|---|
| Message at 9 PM | Seen next morning | Answered in seconds |
| "Magkano?" | Someone checks the list | Your approved prices |
| Picking a time | Back-and-forth, logbook | Only open slots |
| Confirmation | If someone remembers | SMS right away |
| Reminder | A call, if there's time | SMS day before, hour before |
| Reschedule | More messages | Patient's own secure link |
What it does in the chat
- Answers first. Price, hours, location, what a cleaning includes. Flo answers only from the information your clinic approved, and says so when it doesn't know.
- Offers times that are really free. It checks live availability, including chairs and dentists shared between services. Bookings are written under a lock, so two patients can't take the same slot.
- Talks the way the patient does. English, Taglish or Bisaya, matching however they write.
- Follows through by SMS. A confirmation the moment it's booked, then a reminder the day before and an hour ahead. Every text carries a secure link to cancel or reschedule.
You don't have to take our word for it. Message Flo on Messenger and try to book a cleaning at our demo clinic. It's the real system, running live.
Won't patients want to talk to a real person?
Some will, and they can. When a patient asks for a person, or asks something Flo shouldn't answer, it takes their details and flags the chat for your team. Anyone on your team can take a conversation over, and Flo stays quiet there until you hand it back. It never diagnoses, prescribes, or answers "is this safe for me?"
What it costs
Setup: ₱0. Then 4,975 a month.
We set it up around your clinic: your services, your prices, your hours, your booking rules. Then we keep it running and fix the wording when something reads wrong. The monthly fee covers hosting, AI usage, an SMS allowance and monitoring. The full breakdown is in the pricing section.
Your patients' data
Your clinic stays the personal information controller for your patients' data under the Data Privacy Act (RA 10173). OtterFlow processes it on your behalf. OpenAI and Google process some of it outside the Philippines. The privacy notice has the details.
Questions clinic owners ask
Does it replace our clinic software?
No. Your clinic software keeps the records, charts and billing. OtterFlow sits in front of it and turns messages into booked appointments. Bookings can sync to Google Calendar.
Which channels does it work on?
Facebook Messenger, connected for you during setup, plus a hosted chat page and a widget for your website.
Can it book a time we can't honour?
No. It only offers slots that are genuinely open, and two people can't take the same one.
How long does setup take, and what do we do?
You give us your services, prices, hours, booking rules and the questions patients ask most. We build it, test it with you, and train your staff.
